Ordering and Reimbursement Information

This information only applies to SAUs who submitted an application by September 30th, 2022. For all other requests, please contact Emma-Marie Banks

NOTE: Please ensure that schools are coordinating with admin, tech folks, and educators to place these orders.

Step 1. **If you completed the MS Form, but not the GEM application, please ensure you complete the GEM application before placing your orders.**

Step 2. SAUs should utilize their local procurement processes and maintain effective internal control over the Federal Award in compliance with Federal statutes, regulations, and the terms and conditions. For audit purposes, maintain documentation that supports due diligence during the procurement process.

Step 3. Follow LEA procurement policies to place orders through the applicable vendors.

Step 4. The computer science mobile lab sub grant is a reimbursement program, which means the SAU must have an approved GEMS application and can only request a reimbursement once the expenses are incurred. Each reimbursement request submission should include: 1) a detailed trial balance with a billing period matching the sub-award period of performance period being invoiced, and 2) Copies of paid receipts or purchase order receipts. Please note that sales tax is not an allowable expense for federal sub grants and should not be submitted for reimbursement. Sample Coding Information can be found here!

Step 5. Work with your business manager to submit reimbursement request(s) and required documentation to Maine DOE via the grant electronic management system (GEMS) available at https://www.4pcamaine.org/ no later than December 30th, 2022. Please note that invoices submitted after December 30th will not be eligible for reimbursement. Please be advised that the reimbursement process typically takes 17-45 business days from invoice submission to reimbursement check receipt.

Please know that in addition to this preliminary information, we hosted a webinar on November 1st to answer questions and provide any assistance that might be needed. This webinar was hosted by both the computer science specialist and a member of the federal programs team to ensure that we can address as many needs as possible.

Lab Option #1: Robotics and Programming - Sphero

robotics and programming

The Robotics and Programming lab engages students in the basics of robotics and programming by integrating Sphero technology in the classroom. Students can learn core computer science concepts, dig into computational thinking, and take things to the next level through programming. The Sphero Bolt and Indi are both designed to encourage students to engage in block-based programming, programming based on color, and much more. Your students can take control, literally, and engage in hands on computer science learning through fun and exciting Sphero robots!

Lab Option #2: Augmented and Virtual Reality - Merge and CoSpaces

ar-vr

The Augmented and Virtual Reality lab provides educators and students opportunities to engage in learning through Merge augmented reality learning experiences and enhance project-based learning by engaging students in 3D design. Augmented and virtual reality can be integrated into nearly any learning experience and Merge EDU and CoSpaces makes it easy!

Engage students through ready to go augmented experiences in Merge EDU or empower students as creators in CoSpaces and let them design their own augmented and virtual experiences. This equipment is also compatible with things like TinkerCAD, Minecraft, 3D scanners, and more, providing a wealth of innovative learning opportunities. Your students will be able to hold virtual experiences right in their own hands. Imagine the students in your classroom getting hands on virtual experience, all while learning about the functions on the cell, or building a diorama for their book report.

Lab Option #3: Coding and Hardware - Lego

coding and hardware

With the Coding and Hardware lab, students will learn about hardware basics and engage in coding through Lego-based labs. This hands-on lab pairs nicely with Scratch and other tools to create a robust experience for students. Your students will be creators and controllers of Lego based machines. They will have the freedom to build, rebuild, troubleshoot, and create multiple iterations of their machines; by engaging students in this hands-on work, they will be able to see the process of innovative design in real-time.
